Job Description:
As a Sr. Marketing Specialist, you will play a crucial role in securing new and returning business opportunities by creating compelling, high-quality proposals and marketing materials that align with the firm’s strategic goals and brand standards. This position demands a strategic mindset and the ability to translate technical information and project details into persuasive content, showcasing our team's strengths and market expertise. You will oversee the entire proposal process, collaborating closely with project managers, engineers, and subconsultants to coordinate resources, refine messaging, and ensure timely and compliant submissions. This dynamic role requires multitasking, attention to detail, and the ability to adapt to shifting priorities. Success in this position hinges on excellent proposal management, communication, graphic skills, and a solid understanding of the A/E/C industry.
Primary Responsibilities:
Proposals & Presentations (70%):
Coordinate the production of proposals from pre-proposal release to the formulation of strategic win themes, creation, and printing.
Review complex RFP/RFQ language to guide the development of proposal outlines and content, ensuring compliance.
Oversee the entire development cycle of proposals and presentations, collaborating with project managers, engineers, and subconsultants to maintain cohesive messaging and brand alignment.
Collaborate with project managers, engineers, and subconsultants to develop strategic messaging and win themes, integrating these elements throughout the proposal.
Create and manage a proposal schedule to ensure the process and tasks progress effectively.
Work with the pursuit team to develop graphics and other visual elements that reinforce strategic messaging.
Design a proposal layout that adheres to brand guidelines, providing proofreading and quality control.
Aid pursuit teams in pre-interview planning and PowerPoint creation, ensuring win strategies are effectively reflected in presentation materials.
Administration (30%):
Manage and continuously update boilerplate materials, including resumes and project descriptions.
Coordinate conferences, speaking engagements, and internal events.
Assist in maintaining the website and social media platforms.
Additional responsibilities may involve collaborating with project managers, marketing leadership, and office staff to support daily marketing and business development activities.
Perform other assigned duties
Requirements:
Excellent written and verbal communication skills, complemented by strong interpersonal abilities.
Capable of managing multiple deadlines while demonstrating superior organizational skills and meticulous attention to detail.
Proficient in effectively coordinating projects through communication with remote team members.
Experienced in editing and proofreading narratives written by technical professionals.
Able to work under tight time constraints with minimal allowance for errors or delays.
Practical experience in facilitating strategy and proposal development for both large and small groups.
Skilled in shifting priorities and delegating tasks to maintain schedules.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe InDesign.
Strong graphic design skills, particularly in Adobe InDesign.
Education & Experience:
At least 2 years of marketing experience in the AEC industry, particularly in proposal development.
Bachelor’s degree in Business, Journalism, Marketing, Communications, or a related field.
Experience in Architecture, Engineering, and Construction is preferred
