Reports to: Director of Marketing

Pay Scale $25-$35 per hour (non-exempt)

Location: Diamond Bar, Irvine

The Marketing Coordinator will provide support across the firm. Marketing functions include proposals, presentations, brochures, event registration and planning, photography coordination, website management, social media, press/media relations, and other communication and marketing tools. The Marketing Coordinator will frequently collaborate and communicate with project managers, engineers, and sub-consultants to coordinate resources, refine messaging, and ensure timely and compliant submissions.

Primary Responsibilities

  • Collaborate with the Director of Marketing and Technical Staff to strategize and execute Requests for Proposals, Requests for Qualifications, and Client Interviews/Presentations.

  • Create proposal schedules and templates, perform production tasks, and demonstrate a strong understanding of compliance.

  • Coordinate all proposal materials with internal and external teams.

  • Develop compliance matrices and establish reasonable, agreed-upon schedules for content development, production, and delivery.

  • Contribute to and support the writing, editing, and formatting of resumes and past performance sections for proposals.

  • Create tailored marketing materials (e.g., brochures, flyers, presentations, etc.) and maintain a library of marketing resources for company-wide use.

  • Conduct a self-check of work before submitting it to others for review and approval.

  • Create, post, and monitor content on social media channels (LinkedIn, Facebook, Instagram, etc.).

  • Produce the final proposal deliverable: exporting, printing, binding, and coordinating delivery by established deadlines.

  • Provide administrative support for the marketing team, including notetaking and managing the marketing calendar.

  • Handle data entry and cleanup tasks.

  • Perform additional coordination and administrative duties as needed.

Minimum Requirements

  • Excellent written and verbal communication skills, complemented by strong interpersonal abilities.

  • Capable of managing multiple deadlines while demonstrating superior organizational skills and meticulous attention to detail.

  • Proficient in effectively coordinating projects through communication with remote team members.

  • Experienced in editing and proofreading narratives produced by technical professionals.

  • Able to work under tight time constraints with minimal tolerance for errors or delays.

  • Skilled at shifting priorities and delegating tasks to maintain schedules.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe InDesign is required.

  • Strong graphic design skills, particularly in Adobe InDesign, are essential.

Experience and Education

  • 2+ years of professional experience in marketing, administration, and communications.

  • Bachelor’s degree in Business, Journalism, Marketing, Communications, or a related field.

  • Experience in architecture, engineering, and construction is preferred.
